O-Launch is Otis College of Art and Design’s annual capstone exhibition, showcasing graduating Game & Entertainment students to recruiters, alumni, industry professionals, faculty, families, and the public.
As the Game & Entertainment Special Events Coordinator, I managed the year-long planning and execution of the Senior Exhibition for 54 graduating seniors — from initial project roadmapping in Fall 2025 through exhibition weekend in May 2026. Rather than focusing solely on the event itself, my approach centered on building a structured production workflow that aligned academic milestones with exhibition deliverables.
The Challenge
Managing the O-Launch Senior Exhibition required coordinating a year-long production schedule involving 54 graduating students, faculty, alumni, leadership, vendors, and industry partners. Each student progressed at a different pace while balancing coursework, portfolio development, exhibition assets, and professional preparation alongside academic deadlines. Without a structured project management system, overlapping timelines, inconsistent communication, and competing priorities could easily create workflow bottlenecks, idle time, and last-minute production challenges. The goal was to keep every participant moving forward with clear expectations, coordinated resources, and continuous progress from the first semester through exhibition weekend.
The Strategy
Designed and managed a phased production workflow that aligned academic requirements with exhibition milestones. Each semester had clearly defined objectives, deliverables, and checkpoints, allowing students and stakeholders to focus on the right priorities at the right time. The strategy emphasized proactive planning, transparent communication, and efficient resource coordination through semester-based production roadmaps, structured milestone tracking, weekly progress reviews, cross-functional communication, exhibition production schedules, resource planning and documentation, and ongoing deadline management.
The Results
Successfully guided the Senior Exhibition from initial planning through final execution with an organized and efficient production schedule. Reduced downtime by creating a continuous production workflow that kept students engaged and advancing toward their next deliverables. Delivered a polished public exhibition over two days that connected graduating artists with recruiters, alumni, faculty, and the broader creative community. Created repeatable documentation, production timelines, and workflow systems adaptable for future Senior Exhibitions.
Each phase of the project was organized around clearly defined objectives, transparent communication channels, and actionable next steps. This ensured students, faculty, vendors, and leadership remained coordinated — allowing work to progress efficiently while minimizing scheduling conflicts, bottlenecks, and downtime throughout the academic year.
The result was a well-executed exhibition that showcased graduating student work while demonstrating the value of thoughtful planning, organized execution, and collaborative project management.
